E-Mail

1)     Move the mouse over the folder containing the messages you want to read (Inbox, Outbox, Sent Items, Deleted Items, Drafts) and left click, the folder is highlighted

a)     Messages you have not read display a closed envelope and appear in bold type

b)     A paperclip icon indicates a message with an attached file

2)     Move the mouse over a message you want to read and left click—a double left click makes the message fill the screen

                  Compose a Message 

1)     Move the mouse over “New Mail” and left click

2)     Type the e-mail address of the person you want to receive the message

3)     To send a copy of the message to another person, move the mouse over the Cc bar and then left click, type in the e-mail address

4)     Move the mouse over the big area (message box) and left click, then type the message

5)     To send the message, move the mouse over “Send” and then left click

6)     Outlook stores a copy of each message you send in the Sent Items folder

            Address Book 

     Add a name to the address book

1)     Move the mouse over “Address Book” and left click

2)     Move the mouse over “New Contact” and left click—New Properties box appears

3)     Type the first name of the person you want to add

4)     Move the mouse over the “Last” bar, left click, type in last name

5)     Move mouse over the “Add New” bar, left click, type in e-mail address

          Select a name from the address book

1)     Move the mouse over the “ Addresses” button and left click

2)     Select Recipients box appears

3)     Move the mouse over the name of the person you want to receive the message and left click

4)     Move the mouse over “To” and left click

5)     If you want to send to another person, repeat steps 3 & 4

6)     Move the mouse over “OK” and left click

7)     You can now compose your message

  Create a Distribution List

1)     Left click on the “Addresses” button

2)     Left click on the “New” button

3)     Select “New Group”

4)     Type in the name of the group

5)     Left click on “Select Members”

6)     Highlight a name from your address book list, left click, “Select”, this adds the name to the distribution list

7)     Repeat as needed until you have included all the members you want on your list

8)     Left click “OK”

9)     Left click “OK” again

10)You will be back to the main screen

    Attach a file to a message 

       1)     Compose and address your message

        2)     To attach, move the mouse over the paperclip button and left         click, Insert Attachment Box appears.

        3)     Move the mouse over the name of the file you want to attach to the message and left click (you can choose other files from         which to look through by left clicking on the down arrow and scrolling through choices)

        4)     Move the mouse over “Attach” and left click

        5)     Send the message by moving the mouse over the “Send”         button and left clicking

    View a message with an attached file 

    1)     Move the mouse over a message with an attached file and left click

    2)     Move the mouse over the paperclip and press the left button

3)     Move the mouse over the file you want to open, left click

 

            Reply to a message 

        1)     Move the mouse over the message you want to reply to and left click

        2)     Move the mouse over “Reply” or “Reply All”

            ·               Reply sends a reply to the author only

            ·                Reply All sends a reply to the author and everyone who         received the original message

        3)     A window appears for you to compose the message, Outlook         fills in the e-mail address(es) and subject for you.  It also                includes a copy of the original message

4)     Begin typing your message (It will be at the top of the message box, possibly in a different color)

         5)     Send the message by moving the mouse over the “Send”       button and left clicking

            Forward a message 

    1)     Move the mouse over the message you want to forward and left click

    2)     Move the mouse over “Forward Message” and left click

    3)     A window appears, displaying the message you are forwarding

    4)     Type the e-mail address of the person you want to receive the message

    5)     Outlook fills in the subject for you

    6)     Move the mouse over the message box and left click, type any comments about the message

    7)     Move the mouse over the “Send” button and left click

            Delete a message 

        1)     Move the mouse over the message you want to delete, left click

        2)     Move the mouse over the “Delete” button, left click
